Landlord Services & Fees

75% of one month’s rent excluding VAT (of the achieved monthly rent)

  • Property marketing – advertise the property on portals (Rightmove, Zoopla and On the Market) as well as on Ashton White website and office window displays.
  • Tenant Sourcing – handle enquiries and arrange and conduct viewings with prospective tenants
  • Tenant Referencing – Carry out ID checks, employment and income verification, previous landlord references, and Right to Rent checks
  • Tenancy Agreement Preparation – Draft and issue a legally compliant tenancy agreement for signing by both parties
  • Deposit Collection & Registration – Collect the tenant’s deposit and, if required, register it with a government approved tenancy deposit scheme
  • First month’s Rent collection – Collect the first month’s rent and transfer it to the landlord after deduction of any agreed fees
  • Tenant Move-in Coordination –Confirm move in date with the tenant and arrange key handover
  • Legal & Compliance Guidance – Advise landlords on their legal responsibilities, including safety certificates (e.g. gas, electrical and EPC)
  • Inventory Arrangements – Recommend or arrange an independent inventory

After the tenant moves in, the landlord takes full responsibility for managing the tenancy, including rent collection and compliance.

Set-up fee 60% inc VAT (of the achieved first first months rent)

Rent Collection Fee 8% inc VAT per calendar month, gross rents due.

Management Fee 10% excluding VAT / 12% including VAT per calendar month, gross rents due

  1. Property Inspections
    • Conducting regular property inspections to ensure that the property is being maintained
    • Providing inspection reports to the landlord
  1. Maintenance and Repairs
    • Organising repairs and routine maintenance on the property as required
    • Liaising with contractors and tradespeople to ensure quality work is carried out
    • Providing quotes and obtaining landlord approval for larger repairs
  1. Emergency Response
    • Offering a 24/7 emergency response contact for tenants to report urgent maintenance issues
    • Coordinating emergency repairs promptly to protect the property and its contents
  1. Compliance and Legal Requirements
    • Ensuring the property complies with safety regulations such as gas safety checks, electrical safety and EPC requirements
    • Arranging annual checks and certifications e.g. Gas Safety Certificate, Energy Performance Certificate (EPC)
    • Advising the landlord on legal obligations and updates in tenancy law
    • Sanctions checks; Title deeds and plans £30 excluding VAT / £36 including VAT
  1. Handling Tenant Queries
    • Acting as the primary point of contact for tenants throughout the tenancy
    • Managing urgent requests and resolving day-to-day issues
  1. End of Tenancy Procedures
    • Serving notice to tenants at the end of the tenancy, if required
    • Conducting a detailed check-out inspection to assess any damage or cleaning issues (chargeable fee)
    • Managing the return of the tenant’s deposit, handling disputes if necessary (initial stage (this does not include disputes that go to the tenancy deposit scheme agency)
  1. Tenancy Renewals
    • Advising the landlord and tenant on renewal terms
    • Preparing and facilitating the signing of tenancy renewals
  1. Eviction and Legal Support (if necessary)
    • Advising the landlord on the eviction process, if needed
    • Serving legal notices such as Section 21
    • Providing guidance on any legal actions required during the tenancy
  1. Financial Reporting
    • Providing monthly and annual rental statements for the landlord’s records
    • Offering tax information and support if requested
  1. Key Holding
    • Securely holding keys to the property for maintenance access and emergencies

Deposit Registration Fee £30 excluding VAT / £36 including VAT

  • Register landlord and tenant details and protect the security deposit with a Government-authorised Scheme
  • Provide the tenant(s) with the Deposit Certificate and Prescribed Information within 30 days of start of tenancy

Preparing paperwork for Tenancy Deposit Scheme dispute £250 plus VAT £300 including VAT

Contract Fee £150 excluding VAT / £180 including VAT payable on initial tenancy and subsequent renewals

Safety Certification: The cost of safety certification and Energy Performance Certificate is levied by the approved supplier and payable by the Landlord

Additional property visits £25 excluding VAT / £30 including VAT 

  • To attend for specific requests such as neighbour disputes; more visits are required to monitor the tenancy; or any maintenance-linked visit

Submission of non-resident landlords receipts to HMRC £25 excluding VAT / £30 including VAT, payable quarterly 

  • To remit and balance the financial return to HMRC quarterly – and respond to any specific query relating to the return from the landlord or HMRC

Obtaining more than two contractors quotes £25 excluding VAT per quote / £30 including VAT per quote 

Contract Renewal Fee £150 excluding VAT / £180 including VAT 

  • Contract negotiation, amending and updating terms and arranging a further tenancy and agreement

Rent review service £150 excluding VAT / £180 including VAT

Court Attendance £100 excluding VAT per hour / £120 including VAT per hour

Preparation of documents required for legal proceedings £120 excluding VAT per hour / £144 including VAT per hour

 Dealing with insurance claims £50 excluding VAT per hour / £60 including VAT per hour

Tenant referencing via Goodlord:

  • One person £150 excluding VAT / £180 including VAT
  • Two people or more £200 excluding VAT / £240 including VAT
  • Deposit registration £30 excluding VAT / £36 including VAT
